PRICING

Quotes are based on information given at the time of booking. Additional charges may be incurred upon receiving your final itinerary (driving through the night, etc.) or if you have exceeded the hours or mileage estimated after your charter returns. Changes in itineraries should be reported to us as soon as possible. Changes must be made with office personnel, not driver(s). The client is responsible for all parking, toll fees, and permits.

PAYMENT

There is a non-refundable deposit of 25% (per vehicle) at the time of booking. The deposit must be received within 14 days of booking or Rent-A-Bus USA reserves the right to release the vehicle(s) for resale. The remaining balance is due 30 days prior to the departure date and is subject to cancellation if payment is not received. If paying with credit card, there may be a 3.5% fee added.

CREDIT TERMS

Approved Account Holders in good standing may be extended credit terms. Any outstanding balance not paid within 30 days after the charter, a 10% fee will be applied the first month. Thereafter, a 15% fee will be applied each month payment is late. Accounts not in good standing may have their privileges suspended or revoked. Requests to open an account should be forwarded to accounting@rentabususa.com for approval.

AMENITIES

Most of our vehicles are equipped with reclining seats, restroom, PA system, TVs, DVD, outlets, and Wi-Fi. These are provided as complimentary services. No refunds will be given in the event any of these services are not working.

CANCELLATION

Cancellations made 30 days prior to departure will receive a refund, minus the deposit. Any cancellation made within the 30 days before charter will forfeit the entire cost of the trip. In the event of inclement weather, clients may reschedule the trip within 3 months without any additional charges. Rescheduled trips are subject to availability. If we are unable to reach an agreement on a new date, you will forfeit the total cost of the trip. In the event of extreme weather conditions, the final decision to implement a trip will be made by Rent-A-Bus USA. In the event that Rent-A-Bus USA deems travel unsafe, we will refund payment minus the deposit.

ITINERARIES

Detailed itineraries should be received 14 days prior to your trip. Itineraries must include addresses, directions (if necessary), and times.

DRIVER RESTRICTIONS

DOT Regulations limit drivers to 10 hours of driving time per day with a maximum of 15 hours on-duty. Drivers must have 8 consecutive hours off the coach to reset these time limits. A relief driver will be needed if your itinerary exceeds these limits, and any additional cost are the responsibility of the client.

ACCOMMODATIONS

Clients must provide hotel accommodations for driver(s) on overnight trips at the same hotel as group, unless verified by office personnel. Each driver should receive their own room. Hotel MUST have onsite bus parking.

GRATUITY

Our drivers are trained professionals in the safe operation of your coach. Suggested gratuity is 10-20%. At your request, this can be included at the time of booking.

FOOD & BEVERAGE

We allow food and beverages on our coaches with the following restrictions: • No glass, cans, or fountain drinks (plastic bottles only).

  • All trash must be placed in proper receptacles, which are provided on each coach. • Coolers must be kept out of aisle way for safety reasons or can be stored in under-bay storage.

The driver can refuse these privileges at any time if the group is not following our policy.

REST ROOM

Please limit use of the on-board restroom. Due to the nature of the facility, unpleasant odors may develop. Do not throw objects or paper into the toilet. Arrangements can be made to service the restroom for over the road trips where possible.

FUEL SURCHARGES

As fuel costs constantly fluctuates, it may be necessary to add a fuel surcharge on our charters to cover large increases in cost. You will be notified if this applies to your charter.

DAMAGES

Any spills, accidents, and/or damages that are caused by any passenger which require special or outside cleaning or repair will be the clients’ responsibility. The cost for damages can be based on an estimate for the repair costs and any subsequent loss in revenue.

PERSONAL PROPERTY

Please check the coach for all belongings prior to departing the coach. We do check our coaches for lost property during cleaning; however, Rent-A-Bus USA will not be responsible for any stolen, lost, damaged, or misplaced personal property. The return of all lost property will incur handling fees plus any shipping charges at your cost.

Rent-A-Bus USA will not be held liable for loss of time due to mechanical failure or inclement weather, power failures, traffic, or any unforeseen circumstances. We also reserve the right to lease equipment from other companies to fulfill this agreement. 

FAQs

Q: What type of deposit is required?

Deposit amounts vary according to the length of time in advance that the trip is booked. Most frequently a 30% deposit is required at the time of reservation with full payment due 1 month prior to charter. If you have specific questions, please just let us know and we would be happy to answer them for you.

Q: When is final payment due?

Final payment is due 30 days before the service date. Trips booked within 30 days of departure require full payment at time of booking.

Q: How can I pay?

Rent-A-Bus USA accepts Visa, MC, AMEX, PayPal, ACH, checks, money orders and wire transfers.

Q: Is a Mini Bus able to travel long distances?

Typically, most operators will not allow a minibus to travel over 100-150 miles outside of the city they operate in. Mini-buses are not built for long-distance travel which makes the ride less comfortable for passengers. We recommend going with a motorcoach for any trips that are longer in duration…oftentimes the price difference between a minibus and a motor coach isn’t that substantial, but the comfort difference is considerable.

Q: Will my bus look like the one on your website?

The buses shown on our website are examples of the buses we charter. We are very highly selective of who we partner with, in the markets that we operate in, and all of our operator partners have high-end, late model buses in their fleets. No exceptions. If you have a specific question about a certain bus and its look or layout, just let us know and we will be happy to provide more specific details for you.

Q: How do you handle itinerary changes?

Generally, we can accommodate just about any change to your trip with enough notice. When changes involve moving up, moving back or postponing your trip, this is generally handled as a cancellation and the trip will need to be re-booked. If this is the case, Rent-A-Bus USA will use every effort to waive cancellation fees on re-booking as long as there is availability, we are using the same operator/partner and the total cost of your trip remains unchanged.

Q: Who pays for parking and/or tolls?

Rent-A-Bus USA does not include parking fees, bridge tolls nor road tolls in your quote. All of these fees/costs are the responsibility of the customer.
